Basic of Ms Words

Microsoft Word 2007 is new and greatly improved. If the smoothly designed Word is proving too much to handle, here's a quick guide of how to use it.

Let's start off with the toolbar. The toolbar has seven different tabs. They are

    Home: This tab is the basic word processing tools, like for example, size, font, color, style, etc. You will find that you're going to go here most of the time.

    Insert: This tab contains more tools than the Home tab, and it's really for inserting things. They are really helpful, and they're just not used for basic word processing. They're also used for a professional document. Some things you can do in this tab are add clip art, add links, etc.

    Page Layout: This tab is mostly there for adding the final touch to your document and fixing it a little. You can change the orientation, the size of your document, and pretty much you can do things you normally can't do basically.

    References: This tab is for inserting references. For example, adding citations, a table of contents, footnotes, bibliography, captions, etc.

    Mailings: This tab is for making envelopes and labels, starting a mail merge (sending the same document to different people),

    Review: This tab is for things like spelling and grammar, translating, a dictionary, a thesaurus, adding a comment, etc.

    View: This tab has something to do with how your document looks like. It's sort of similar to Page Layout, except it's more of adjusting things, like zoom in, zoom out, etc.

    Format: This tab only applies with pictures, clip art, word art, or photos. This tab is for adjusting the image(s) and text, like changing the brightness, contrast, effect, color, etc.

Method 2 of 2: Making Your First Document

    Let's go on to the part where you make your first document. Read on to find out what to do.

    Open up Microsoft word and start a new blank document. You do this by clicking on the icon that looks like a blank page with one corner turned down.

    Begin the process by saving.
    • To save, you click on the circular Microsoft Office logo in the upper left hand corner of the window. You should see a little menu pop-up with multiple options.

    • Leave the cursor over the words Save As. You should always do Save As when you're making a new document. It gives you the option of what kind of document you want it to be, where you're going to save it, and what the name of the document will be.

    There are many different kinds of file type options. Click on Word 97-2003 Document or Word Document. Word 97-2003 Document allows other people to see it, even if they have older versions of Word and haven't installed the Office 2007 Compatibility Pack, while if you use Word Document, only people that have Word 2007 or the Compatibility Pack can open it. Either one is a good choice.

    If this is your first time using Microsoft Word Office 2007, create a new folder for your documents. Just type something like "Sample Documents" or something you want to name it.

    After you're done creating a folder and saving the document, go back to the empty document. Choose a font that you think is a style you like. Some suggested fonts are Times New Roman, Calibri (Body), and Arial. The picture below shows you an example of what to do.

    Choose a document type. This document contains the information that will remain the same in each version, such as the return address or company logo. If you’ve already created this document, you can click the USE CURRENT DOCUMENT. Otherwise, click Start from a template or Start from existing document, and then locate the template or document that you want to use.

    Connect to the data source. The information that you want to merge into your documents will be stored in the data source, and can be found in your Outlook contacts or in an existing file. If you have not yet created this information, select Type a New List to begin creating.

    Preview and complete the merge. To preview, you can scroll through each merged document, making sure that there are no mistakes. You can also search for a specific recipient, exclude a recipient or edit the entire recipient list. After previewing the merged information, click next and your merge will be complete. You can print, transmit, save all or save just a portion of the document you created.

Excel's Pivot Table feature is an incredibly powerful tool that makes it easy to tabulate and summarise data in your spreadsheets, particularly if your data changes a lot. If you are finding yourself writing lots of formulas to summarise data in Excel (using functions such as SUMIF and COUNTIF) then Pivot Tables can save you a lot of time and work and give you insights into your data that are otherwise too hard to discover. Not only that, but they also allow you to quickly change how your data is summarised with almost no effort at all. This lesson will show you how to create a simple pivot table in Excel to summarise a set of daily sales data for a team of several sales people.

What you'll learn in this lesson

In this tutorial, you'll learn how to:
  • Set up your data in Excel so it is in a format that you can use for a pivot table.
  • Create a pivot table with that data
  • Change the pivot table report to reflect different views on the same data.
The data we'll work with in this example is an Excel table that has two months of daily sales data for a team of four sales people, broken down by product. The first few rows are shown below:

In fact, this spreadsheet extends down for 688 rows of sales data, for all of January and February. So while you might look at the data in the table above and think "I could summarise that quickly by hand or with a few clever formulas", the likelihood is that it would all get too much - and would certainly take too long to do by hand. That's where pivot tables are by far the best solution - you'll be able to convert this data in under a minute, and be able to get different summaries with a few clicks of the mouse.

Getting started with Pivot Tables - make sure your data is ready

There are some important rules you need to follow if you want to create a pivot table from your data:
  • You need to have a your data organised in columns with headings. These headings will be used when you create the pivot table, and things will get very confusing without headings.
  • Make sure there are no empty columns or rows in your data. Excel is good at sensing the start and end of a data table by looking for empty rows and columns at which point it stops.
    • A quick tip to check if your data is formatted in one contiguous range (a fancy term way of saying "one block of data") is to click a single cell in the table then press SHIFT+* (or CTRL+SHIFT+8). This automatically selects the whole table. You'll then see if you have any problems with the layout of your table.
    • Note that empty cells are OK. What isn't OK is a whole row or a whole column of empty cells.
  • Consistent data in all cells.
    • If you have a date column, make sure all the values in that column are dates (or blank).
    • If you have a quantity column, make sure all the values are numbers (or blank) and not words.
At this point, if everything is looking OK, you're ready to move on to the next step.

Create a blank Pivot Table

To start your pivot table, follow these steps:
  • Click on a cell in the data table. Any cell will do, provided your data meets the rules outlined above. In fact, at this point it's all or nothing - select the whole table or just one cell in the table. Don't select a few cells, because Excel may think you are trying to create a pivot table from just those cells.
  • Click on the Insert menu and click the PivotTable button:

  • The following dialog box will appear:

  • Note that the Table/Range value will automatically reflect the data in your table (you can click in the field to change the Table/Range value if Excel guessed wrong). Alternatively, you can choose an external data source such as a database (we'll cover that another day!)
  • Also notice that you can choose where the new PivotTable should go. By default, Excel will suggest a New Worksheet, which I think is the best choice unless you already know you want it on an existing worksheet.
    • Be warned that if your data changes a lot, or you find yourself changing the Pivot Table layout a lot, then refreshing the data in your Pivot Table can result in the Pivot Table changing shape and covering a larger area. If you have data or formulas in that area, they'll disappear. Therefore, putting a Pivot Table on the same page as data or other information can cause you real headaches later on, and thats' why New Worksheet is the recommended option.
Once you've completed your selections, click OK. Assuming you chose the New Worksheet option, Excel will create a new worksheet in the current workbook, and place the blank PivotTable in the worksheet for you. You are now ready to design your Pivot Table.

Designing your PivotTable layout.

  • When you switch to the worksheet with your new Pivot Table, you'll notice three separate elements of the Pivot Table on the screen, starting with the PivotTable report itself:

  • Then you'll see the Pivot Table Field List and under that the field layout area. Note that it should show the column headings from your data table.

  • To create the layout, you need to first select the fields you want in your table, and then place them in the correct location.
    • You can check the boxes for the fields you want to include, and Excel will guess which area each field should be placed in. However, the Pivot Table is recalculated each time you check one of the boxes which can slow you down, especially if Excel places a field in the wrong place.
    • Therefore, I recommend you drag and drop each field to the area you want it to be.
  • As an example, here are the Field List and the Field Layout area above with the fields in place to show a report with:
    • Each day down the left, with each sales person listed separately for each day
    • Items shown across the top.
    • The total quantity of items sold for each cell in the Pivot Table.
  • Here is how to layout this report:

  • Notice how the Pivot Table has automatically created a list of the sales people for each day covered in the source data.

How To Format Hard Drive And Reinstall Windows XP (Full Step by Step Tutorial)

This tutorial explains in a detailed 15 easy step-by-step procedure on how to format your hard drive partition and reinstall Windows XP using the Windows XP installation CD.

This tutorial is created by me only. I have really worked hard on this post as I do in every other post so I have one request. Please show your appreciation by not stealing this post and do not copying it as is without giving me the credit for it. I would really appreciate it. Thank You!

Before you start this procedure.
  1. Make sure to back up your data: First, make sure there is absolutely NOTHING you cannot afford to lose on the drive you're going to install Windows on (let's say the C: drive.)
  2. Make sure your network cable is unplugged from the wall (to avoid getting viruses from your local area network).
  3. You have a Windows XP installation CD with a valid Product Key.
  4. Hardware driver discs that shipped with the PC and any components you added on
  5. (Optional, but VERY strongly recommended
  6. Time & Patience (you need to be calm and give the setup a little time)
Step 1: Insert the Windows XP CD into your CD-ROM drive and restart your computer.
Step 2: The computer will prompt you to press any key to boot from the CD. Press a key on the keyboard to start the Windows Setup.

The computer will load the setup files automatically. This may take few minutes.

Next you will prepare your hard drive for the installation of Windows. you will see the list of hard drives and its partitions. 
Step 3: Delete the partition prefix C: To do this select the partition and press the button D.

Step 4: Steup will warn you that this is a system partition. Press Enter

Step 5: To complete the removal of the partition, Press L when you see the screen below.

Step 6: You will return to the partition list. There should be unpartitioned space item on the list.highlight the unpartitioned space and press Enter.

Step 7: You will be asked to select the format of partition you wan to use for your hard drive. I recommend to select NTFS (Quick). Press Enter to continue.

Setup will format the drive according to the preferences chosen in the previous option. This may take few minutes. After this process is done your hard drive will be completely empty.

Now windows setup will copy the files from the CD that will be needed to install Windows XP. This will take several minutes so please be patient.

After the files have been copied, Windows setup will restart your computer. Don’t remove the Windows XP setup CD, and don’t press a key when prompted (we already did that).

Step 8: Setup will ask for your name or the company name. Type in your name.

Step 9: At the next screen, you will be prompted to enter that oh-so-important CD-key, which is located on the back of the sleeve or it should be packed with the license agreement. Enter it carefully (if you make a typo it will not work, but you can return and correct it). The letters will automatically be capitalized.


Step 10: Setup will ask for you to assign Computer name. Please type that in.

Step 11: Setup will ask for current day and time. Make sure you check the date and time and see if its correct or not and then click next. Setup will continue to install windows setup. This may take good bit of time so be patient.

Once setup has installed Windows it will take you to a welcome screen.

Step 12: You will be given option to help protect the pc by turning on the automatic update. I recommend you choose Help protect my pc by turning on Automatic Update now.(This option can be changed later on).

Step 13: Windows will ask you to register Windows XP. Choose No, not at this time

Step 14: Window will now make an attempt to connect to the internet. Click the little skip button at the bottom right.

Step 15: Setup will ask you to type the name of the person using this computer. Fill in the name of the person using this computer that you want and click next.

Finaly you will be flashed with a Thank You! screen. Click Next and your all done for the formatting and reinstalling part!

Congratulations! You have successfully installed Windows. You are now one-step above every person in society that has not installed Windows. You can pat yourself at the back for being so patient throughout the installation. You did it!
